Staffing software evaluation
A demonstration and pilot workbook
Compare the same scenario
This original NurseFlex workbook helps organizations record what a supplier actually demonstrates. It does not rank vendors or claim measured savings. Use fictional records for demonstrations, and have the responsible organization approve any pilot involving real information.
Choose an ordinary workflow and a difficult exception. Ask each supplier to use the same scenario and record the observable result. Separate the software from any staffing, verification or payment service supplied alongside it.
| Demonstration step | Evidence to request |
|---|---|
| Create a shift | Role, location, dates, times, rate and required information. |
| Receive and review applications | Who can apply; what is verified versus self-reported. |
| Assign and change the plan | Overlap handling, cancellation and update visibility. |
| Submit and correct recorded time | Who can submit, dispute and approve; audit history. |
| Remove access | What changes when a person leaves the team. |
| Export records | Usable format, scope, limits and permissions. |
Score demonstrated evidence
Use the scale consistently: 0 = not demonstrated; 1 = partial demonstration or stated limitation; 2 = demonstrated against your scenario. A total is only a discussion aid. A critical failed requirement should not be hidden by strong scores elsewhere.
Write the evidence or limitation next to the score. A slide, roadmap promise or future integration is not the same as an observed working feature. Record the product version and demonstration date.
| Requirement | 0 / 1 / 2 | Evidence / limitation |
|---|---|---|
| Scheduling and exceptions | ____ | ________________________ |
| Role and access controls | ____ | ________________________ |
| Notification delivery and failure | ____ | ________________________ |
| Timesheet correction and audit | ____ | ________________________ |
| Data export and retention process | ____ | ________________________ |
| Support coverage and escalation | ____ | ________________________ |
| Integration actually required | ____ | ________________________ |
| Critical blocker(s) | N/A | ________________________ |
Plan the pilot and make a decision
Name the accountable owner, the users involved and the purpose of the pilot. Agree what data is permitted, how access will be removed and which incidents stop the trial. Avoid putting patient or identity data into a general-purpose demo environment.
Before proceeding, confirm costs, support arrangements, data handling and any required integration with the responsible teams. Review the actual contract and operating process; this workbook does not replace that review.
For NurseFlex Canada, distinguish currently available private planning and learning from services not yet activated: staffing supply, professional verification, SMS call-outs and Canadian payroll. An available screen is not evidence that those external services exist.
