Your information

A clear purpose
for your details.

This notice applies to the NurseFlex Canada interest form.

Who handles your enquiry

NurseFlex Ltd, company no. 17153168, registered in England & Wales, is responsible for the information you submit. Contact privacy@nurseflex.co.uk with privacy questions.

What we collect and why

We collect the contact details, province or territory, city, role, organization and message you choose to provide. We use them to review and respond to your Canadian enquiry and understand interest in future services. We record your consent and submission time. We use Cloudflare Turnstile for spam protection and a hashed network identifier for submission rate limiting.

Your enquiry is handled from the UK

Your details are processed by our UK-based team using our Cloudflare-hosted services and may be processed outside Canada. This form is not a Canadian employment onboarding service and does not create a worker account.

Keep your submission limited

Do not submit patient information, clinical records, identity documents, professional registration documents or bank details. We will explain any future onboarding requirements separately.

Your choices

You can ask to access, correct or delete your enquiry, or withdraw your consent, by emailing privacy@nurseflex.co.uk. Include your enquiry reference if you have it. Submitting this form does not subscribe you to unrelated marketing.

For general website information, see the NurseFlex privacy policy. This notice describes the Canadian interest form specifically.

Canada Academy accounts and learning records

If you create a learning account, we collect your name, email, password in protected form, account consents and verification information. For Canada courses we store completed lesson identifiers, assessment attempts, scores, completion dates and learning record references against your account. These records are separate from staffing enquiries and UK course purchases.

You can read course content without signing in. Sign in to save progress and complete assessments. Your signed-in session is stored in your browser. The preparation checklist and fictional staffing-demo preferences are stored only in the browser; clearing browser storage removes them. Do not use these tools to store sensitive personal or patient information.

Learning records are processed through the same UK-operated Cloudflare service. To request access, correction, account closure or deletion, contact privacy@nurseflex.co.uk. We do not treat Canadian Academy signup as an application for UK staffing.

Canada team workspace

When you accept a team invitation, your name, shared availability, team activity and progress on courses assigned by that team become available to its managers. Other courses remain private. Team members can see the team roster, planned shifts and shared messages. You may leave a team after its active planned bookings are resolved; this removes access to your learning progress. Planning and timesheet records may remain with the team. Do not enter patient information or upload clinical records. These services are operated by NurseFlex Ltd in the United Kingdom using Cloudflare infrastructure; this service does not promise Canadian data residency. Contact us to request access, correction or deletion.

Training records and support

Training records are private to your account until you explicitly share them with a team. Current team managers can then view the shared details and download an attachment. Revoking sharing or leaving a team removes future access; it cannot recall copies already downloaded. Review decisions describe that team’s assessment only. Files use a separate private storage binding when enabled. Archiving removes shared access but is not permanent deletion; contact support for deletion requests. Support staff can read your support conversations. Do not upload patient records, identity documents or sensitive medical information. Canadian data residency is not promised.

Private readiness reviews

Manzi OS receives aggregate Canada onboarding counts and task summaries to coordinate administrative preparation. Applicant names, contact details, application text, evidence references and files are excluded from this bridge. Rules-based preparation creates follow-up tasks; it does not verify evidence or make employment decisions.

If you open a readiness case, we store your account association, intended province and role, consent date, your submitted qualifications, experience and reference-check preparation, selected training records and attachments, review outcomes, non-sensitive evidence references, check dates and reviewer history. Access is limited to you and authorized NurseFlex review staff; membership of a workspace team does not grant access. This workflow supports preparation and follow-up. It does not automatically decide employment eligibility.

Do not enter identity numbers, immigration documents, health information, detailed screening results or patient information here. Sensitive evidence needs an approved review process outside this checklist. Sharing training evidence is limited to records you select in your application. Submitting an updated selection removes review access to files you omit; archiving a training record also removes file access. Withdrawing a case stops new reviews and review-file access but retains its application and review history. Contact us to request access, correction or deletion. We retain readiness records only as needed for the stated purpose and applicable obligations; withdrawing does not itself erase them.

Professional references

Applicants can nominate professional referees with permission. We store referee names, job titles, organisations, contact emails and relationships, the applicant’s consent, reference requirements, link issuance history and submitted responses. Reference responses are visible to the applicant and authorized review staff. Private response links expire after seven days, can be replaced, and accept one response. No message is automatically sent when a referee or link is saved.

Withdrawing a referee revokes pending response links and removes that referee from the current response count; existing response history is retained for review. A private-link submission is not identity verification or an employment decision. Referees should submit factual professional information and avoid patient information, health information, protected personal characteristics and unrelated private details. Contact us for access, correction or deletion requests. Manzi OS receives aggregate task counts, not referee contact details or responses.

Identity and screening workflow records

Readiness cases may contain source organisation or process names, responsible reviewer, follow-up dates, progress, and internal evidence aliases. This metadata and its history are visible to the applicant and authorized review staff. This feature does not store identity documents or detailed screening findings, contact a provider, or approve employment. Manzi OS receives aggregate workflow status rather than these personal records. Sensitive source evidence must be handled through the approved verification process.

Commercial enquiry follow-up

Authorized staff may record enquiry ownership, agreed consultation dates, consultation outcomes, follow-up dates and customer onboarding checkpoints. We retain a history of updates with the responsible staff member and non-sensitive evidence references. These records do not sign a contract, send messages or activate staffing. Contact us using the privacy contact above for access or correction requests.

Registration and work-authority source records

Authorized reviewers may record the source authority or process, check date, review deadline, non-sensitive evidence alias, applicability assessment and review attestations. These records and their history are visible to the applicant and authorized review staff. This feature does not collect registration numbers, immigration documents or immigration status, and does not perform automated eligibility decisions. Sensitive evidence must remain in the approved verification process.

Role-specific learning requirements and assessments

Private readiness cases may include workplace and role-specific competence and training requirements, the basis for those requirements, linked training records, assessment outcomes, review dates, evidence aliases and accountable reviewers. The applicant and authorized review staff can view these records. Previous versions are retained for review history; an updated application or requirements plan requires fresh assessment. These records do not certify a clinical course or activate a worker for staffing.

Reviewer access and onboarding decisions

Canada reviewers may receive access limited to specified provinces. Authorized administrators manage those permissions and retain the account, province, reason, actor and time of changes in an access history. Final onboarding handoff records include a human reviewer, outcome, evidence alias, decision basis and validity period. These records are visible to the applicant and authorized review staff. A recorded onboarding handoff does not activate staffing or approve employment.

Operational evidence reviews

Worker readiness cases may include an internal reference to the employer and customer arrangement, workplace scope, human review confirmations, non-sensitive evidence aliases, expiry or review deadlines, review basis and decision history. These records support review of operating authority, insurance, customer requirements, payroll arrangements and worker terms. The applicant and authorized review staff can view the record; this screen does not collect copies of agreements or activate staffing.

Planning shift offers

Team managers can offer a planned shift to an interested member. We store the proposed shift details, recipient, sender, expiry and response to record the member’s own acceptance or decline. Offers and response history are visible to that member and current team managers. They expire after 24 hours or at the shift start, whichever comes first. Acceptance creates only a planning assignment; it does not create an employment booking, contract or payment obligation. No offer email or SMS is sent.

Review checks at planning acceptance

For shifts with a Canadian role and workplace specification, we recheck the worker’s matching readiness case, human reviews and operational evidence before accepting an offer. Evidence must cover the whole shift. A private receipt records the case and review versions checked at acceptance. Team managers see that a check was recorded, not the private evidence or readiness case. General planning shifts without a specification remain scheduling exercises. Neither flow activates employment bookings.

Rechecking accepted planning assignments

Workers and current team managers can request a fresh check of an accepted assignment. We save the latest status, check time and requesting account. Managers see a general review-needed status; detailed readiness blockers are returned only to the assigned worker. Relevant record changes make the previous check out of date. Checks run on request and through scheduled planning rechecks; they do not automatically cancel an assignment or enable real staffing.

Resolving flagged planning assignments

A verified team manager can record a cancellation or replacement offer for a flagged future assignment after a fresh recheck. The resolution action, explanation, manager and time are retained with the original acceptance. The explanation is visible to the worker and current team managers and must not contain sensitive evidence. Replacement releases the previous assignment and requires a new worker acceptance with current checks. Started shifts and assignments with timesheets cannot use this resolution flow.

Shift prerequisite checks

A worker or authorized administrator can compare a private readiness case with a specific accessible planned shift. The check uses the province, role, workplace scope, arrangement reference, evidence deadlines, team membership, planned scheduling conflicts and recorded availability. Administrator-defined shift specifications retain a version history. The result is a point-in-time check and does not reserve or activate a real booking.

Automatic planning checks and exceptions

Automatic offer matching checks up to 10 available interested team members against recorded Canadian prerequisites for shifts with review requirements. Managers receive the selected planning candidate, not private blockers or evidence. Worker acceptance repeats the checks. Scheduled checks reassess recorded Canadian prerequisites for accepted planning assignments. We record check status, time and system activity. Generic review alerts are delivered to the current verified worker and team managers through the Canada inbox, without private evidence or detailed blockers. These checks do not activate staffing or replace human verification.

Workers and managers can keep a shared, versioned follow-up history for started shifts or assignments with timesheets. Notes, author, time and actions remain in the history. Closing an exception does not clear compliance flags or change worked hours. Do not include patient, clinical or sensitive identity details. Use established workplace channels for urgent matters.

Shift and offer inbox notifications

Current active, email-verified team members can receive generic Canada inbox notices when their team adds planned shifts. One notice covers a newly created weekly series. You can turn these discovery notices off in Notifications. Direct offer, response, resolution and review notices remain available. These features do not send email, SMS or device push.

Notices do not include worker names, evidence, rates or private review reasons. Workspace links check current team access before displaying details. A notice records an earlier event; always check the current status and deadline before acting. The workspace unread count updates when you refresh or navigate.

Ordered planning invitations

Team managers record a recipient order, non-sensitive policy reference, response window and invitation history. The full queue, policy reference and action history are visible to current team managers. An invited worker sees their current invitation and deadline, not other recipients or the ordering reference. Responses record interest or a pass; they do not create a booking. Generic direct invitation and response notices appear in the Canada inbox even when new-shift discovery notices are turned off.

Managers can advance after a pass or deadline or enable scheduled progression. We record the authorizing manager, settings changes, automated actions and bounded operational run history. Automatic progression checks the authorizing manager still has current, active, email-verified manager access. It stops when someone expresses interest; managers can turn it off. Scheduled runs process up to 20 due queues every 15 minutes, so progression may be delayed. Former, inactive or email-unverified members are skipped when advancing. A pending offer pauses responses; closed or started shifts cannot receive interest through the queue. Cancellation ends the queue without cancelling the shift. Do not include patient details or private employment evidence in the ordering reference.

Timesheet revision history

For new timesheet submissions, corrections and review decisions, we retain the before-and-after recorded minutes, hourly rate, worker notes and review notes, together with the action, actor and timestamp. The worker and current authorized team managers can access this history through the private workspace. Earlier changes are not reconstructed. Revision records may remain with the team after membership ends. Do not include patient information in timesheet notes.
