Scheduling

Plan holiday cover before the urgent call-outs begin

Prepare availability, responsibilities and contingencies without assuming every province uses the same rules.

Make the planning window visible

List the dates, roles and locations that need discussion, then request availability with a clear response deadline. Distinguish a stated preference from an accepted assignment. Keep a record of changes so the team is not relying on several conflicting spreadsheets or messages.

Confirm the rules with the responsible team

Have the employer confirm the applicable holiday, pay, allocation and collective-agreement rules. This guide does not supply a Canadian holiday-pay formula or a seniority policy. Record who approved the operational rules and where the current version can be found before applying them to scheduling decisions.

Prepare for changes

Agree the escalation contact, the point at which an unfilled gap needs review and how staff will receive a confirmed update. Review travel and site-access arrangements where relevant. NurseFlex’s weekly repeats use fixed UTC intervals; a local clock change can alter the displayed local start time. Check every occurrence when a series crosses daylight-saving changes.
